Procurement and Contracts
Three quotes, a reasoned choice, no contract slips by
Procurement and Contracts
The Procurement and Contracts system follows a purchase from need to delivery: a purchase request, three quotations with the best chosen for a written reason, then approval, the purchase order, the expense request and the receipt record. It also holds the vendor register, the materials catalogue, bid evaluation committees, contracts and their reports.
Who it is for: For the procurement and contracts team and finance staff, approvers in executive management and the departments concerned, and every employee who raises and follows a purchase request.
The system in a minute
What it offers
-
Purchase requests
Line items from the catalogue or described with an estimated cost, and a readiness panel that shows what is missing before approval.
-
Quotations and vendor invitations
Three quotations from different vendors with their files, and vendors can submit their own quote through a time-limited invitation link.
-
Bid evaluation committees
A committee with its members, their attendance and each member's conflict-of-interest declaration, its minutes and the award decision.
-
Contracts and alerts
Vendor contracts with their signed copies, alerts sixty and then thirty days before expiry, and early termination with a stated reason.
What sets it apart
-
A reasoned choice
The lowest price is never picked automatically: the reason is written down, and whoever recorded a quote cannot select it.
-
One complete path
From purchase request to a PDF purchase order and the receipt record without leaving the system.
-
Connected to finance
The expense request is created from the purchase order itself and completed in the Finance system.
