Finance and Expenses
The Finance system records the organisation's expenses, cash advances, invoices and receivables, and turns them into vouchers and journal entries on a single chart of accounts. Reports, the four financial statements and budgets with their spend and balance all come from there.
Who it is for: For finance and accounting staff, line managers and executive management who approve, and every employee who submits an expense or cash-advance request.
The system in a minute
What it offers
-
Expense requests and their path
A request goes to the line manager, then finance, and executive management is added automatically above a set amount.
-
Payment and receipt vouchers
One person creates a voucher and another approves it, then posting creates the entry and settles the request's invoices in one step.
-
Cash advances and settlement
An advance is paid out by voucher and settled with its invoices and refund, and it only closes when the amount is fully accounted for.
-
Reports, statements and budgets
Account statements, trial balance and the four financial statements, exported to Excel and PDF, plus annual budgets with their usage rate.
What sets it apart
-
No payment without a voucher
An expense request is only marked paid when a matching voucher is posted; its status is never changed by hand.
-
Segregation of duties
Requesters never decide their own requests, voucher creators never approve them, and only a third accountant can reverse one.
-
Built for non-profits
Its four statements follow the non-profit standard and are built from posted entries alone.
