Meetings
From the invitation to the signed minutes, in one place
Meetings
The Meetings system brings scheduling, invitations, an in-portal meeting room, minutes and their signing, and decision follow-up into one place. Every employee sees the meetings they were invited to, created, or hold a decision in, and can schedule a meeting for their department or team.
Who it is for: For every employee who calls or attends a meeting, department and team managers, and the executive secretariat and governance officers who run board and committee meetings.
The system in a minute
What it offers
-
Four-step scheduling
Basics, purpose and agenda, invitees, then review and send invitations, held in the portal, by external link or in person.
-
Invitations and RSVP
An email invitation with the agenda and a link to accept, decline or delegate, plus reminders a day and an hour before.
-
Meeting room
Invitees join from the portal itself, and attendance is recorded for everyone who entered when the meeting ends.
-
Minutes and decisions
Structured minutes signed, archived and downloadable as PDF, with decisions that carry an owner and a due date and can become tasks.
What sets it apart
-
Guests without an account
An external invitee receives a personal link that opens the meeting room and nothing else.
-
Quorum checked
Board and committee quorum is checked when the minutes are signed, and a reason is recorded if it is not met.
-
Clash warning
If an invitee already has another meeting at that time, the system warns you while you schedule.
