Automatic inbound mail

Every message to the public mailbox is registered and referred to its owner by itself

Automatic inbound mail

Automatic inbound mail connects the foundation's public mailbox to the correspondence system. An AI model reads every message that arrives, classifies it and proposes the department in charge; a second model from another provider reviews it; the message is then registered as incoming correspondence with its number and referred for action and for information, or held for the secretariat's decision when needed.

Who it is for: The executive secretariat that receives the foundation's mail, every department that receives the correspondence referred to it, and the executive management that wants nothing missed.

The system in a minute

A tour of Automatic inbound mail on its real screens, with sample data. Narrated in Arabic.

What it offers

  • Automatic classification and referral

Invitations, official letters, requests, partnerships, finance, HR and programs: each to its department through an approved routing table.

  • Two models check each other

One model classifies and another from a different provider reviews; a message is referred automatically only when both agree with enough confidence.

  • Triage decision

What the models disagree on, or are unsure of, waits in a list where the secretariat picks the department and refers it in one click, or dismisses it.

  • Deadlines and attachments

Invitation dates and reply deadlines are extracted and the department alerted; allowed attachments are kept with the correspondence.

What sets it apart

  • No message gets lost

Everything that reaches the public mailbox becomes registered correspondence with an owner and a deadline, instead of an inbox nobody opens.

  • Care before referral

Automatic referral needs two models from different providers to agree; anything else is decided by a person.

  • Read only

The portal reads the public mailbox with a read permission limited to it; it neither sends from it nor deletes anything.
